How we collect, use and protect your personal information.

Last updated: 2 November 2026

This Privacy Policy explains how Alpha Design (“we”, “us”, “our”) collects, uses and protects your personal information when you visit a-webdesign.com, get in touch with us, or work with us as a client. We are committed to handling your information fairly, lawfully and securely, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Email: team@a-webdesign.com

If you have any questions about this policy or how we use your information, please contact us using the details above.

2. The information we collect

Information you give us

  • Enquiries: when you use our contact form, email or phone us, we collect your name, email address and any other details you choose to share, such as your phone number, business name, the service you are interested in, your budget and your message.
  • Clients: when you become a client we also hold billing and contact details, project communications, and any content, logins or files you give us to build, host or maintain your website.
  • Newsletters or updates: only if you have asked to receive them.

Information collected automatically

  • Technical information: like most websites, our hosting provider records basic technical data such as your IP address, browser type and the pages you request. This is used to keep the website secure and running properly.
  • Cookies and analytics: with your permission we use Google Analytics to understand how visitors use our website. Analytics cookies are only set if you accept them. See our Cookie Policy for full details.
  • Spam protection: our contact form uses Google reCAPTCHA, which looks at information such as your IP address and how you interact with the page to check you are a real person. Use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.

We do not knowingly collect special category data (such as health information) and we ask that you do not send it to us.

3. How and why we use your information

Under UK GDPR we must have a lawful basis for using your personal information. We use it:

  • To reply to your enquiry and give you a quote – legitimate interests (responding to people who contact us) or steps taken at your request before entering into a contract.
  • To deliver our services – designing, building, hosting, maintaining and optimising your website – performance of a contract.
  • To send invoices and keep financial records – legal obligation.
  • To keep our website and systems secure and prevent spam or misuse – legitimate interests.
  • To understand how our website is used and improve it (analytics) – your consent, which you can withdraw at any time.
  • To send you occasional updates or marketing – only with your consent, and you can unsubscribe at any time.

We will never sell your personal information, and we do not use it for automated decision-making or profiling that has legal or similarly significant effects on you.

4. Who we share your information with

We only share your information where it is necessary, with trusted providers who process it on our behalf and are required to keep it secure:

  • Our website hosting and email providers;
  • Google (Analytics, reCAPTCHA and Maps), only as described in this policy and our Cookie Policy;
  • Accounting, invoicing and payment providers, for client billing;
  • Professional advisers such as accountants or legal advisers, where needed;
  • Authorities or regulators, if we are legally required to do so.

When we build or host a website for a client, the client is the data controller for the personal data on their own website, and we act as their processor under our agreement with them.

5. International transfers

Some of our providers, such as Google, may process information outside the UK, for example in the United States. Where this happens, we rely on recognised safeguards such as the UK-US Data Bridge, the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, so that your information receives an equivalent level of protection.

Because we also work with clients overseas, including in Hong Kong and Greece, information may be exchanged with those clients as part of delivering their project. We only share what is needed to do the work.

6. How long we keep your information

  • Enquiries that do not lead to work: up to 12 months, then deleted.
  • Client records and project files: for as long as we work together, and then for up to 6 years for legal, tax and accounting purposes.
  • Analytics data: kept by Google Analytics for up to 14 months.
  • Your cookie choice: remembered for up to 6 months.

7. How we keep your information safe

We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections, strong passwords and two-factor authentication where available, regular software updates, security monitoring, backups and limiting access to people who need it. No method of sending information over the internet is completely secure, but we take the protection of your data seriously.

8. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or object to how we use your information;
  • ask us to transfer your information to another organisation;
  • withdraw your consent at any time, where we rely on consent (for example for analytics cookies).

To use any of these rights, email us at team@a-webdesign.com. There is normally no charge and we will reply within one month.

9. Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.

10. Links to other websites

Our website links to other websites, including the websites of clients in our portfolio. We are not responsible for the privacy practices of other websites, so please read their privacy policies.
